How to Share Company Files with the Least Hassle? Shared Drives, NAS Setup, Permissions and Backup Explained (2026)

“Files bouncing back and forth in WeChat, versions a total mess,” “stored on some colleague’s computer, and when they take leave nobody can get them,” “we even got a virus from copying files with a USB drive” — once a company reaches a certain size, how to share files, how to manage permissions, and how to avoid losing them becomes a daily headache. Today we’ll cover this in full: what pitfalls each common file-sharing method has, how to set up a shared drive/NAS, and how to handle permissions and backups so that company-wide files are easy to use, secure, and safe from loss.

The Bottom Line First

Stop relying on “a shared folder on someone’s PC plus WeChat/USB drive transfers” for company files. That approach breaks the moment the machine shuts down, permissions can’t be managed, and lost files can’t be recovered. Once you scale up, the right approach is a dedicated shared drive (NAS/file server), with permissions set by department/role, plus automatic backups — everyone connects directly, it’s clear who can see what, and accidental deletions or virus infections can still be restored from backup.

Common Sharing Methods and Their Pitfalls

Method	Main Problem
WeChat/QQ file transfers	Versions get messy, can’t find the latest, files expire and stop working, no unified management
Shared folder on an employee’s computer	Cuts out when that machine shuts down or gets reinstalled, permissions can’t be managed, nobody backs up the data
Copying via USB drive/external hard drive	Easy to lose, easy to get infected, no control at all over who copied what
Personal cloud drives, each person on their own	Data scattered across private accounts, can’t be retrieved when someone leaves, the company has no control
Shared drive/NAS (recommended)	Requires a one-time setup with permissions and backups, then it’s hassle-free for the long haul

How to Set Up a Shared Drive/NAS, Step by Step

Choose the device: for a dozen to a few dozen people, an entry-level NAS (starting with two bays, configured for redundancy) is enough; for more people or larger data, move up to more bays or a file server.
Set up disk redundancy: at least two drives in a redundant array (such as RAID1), so data isn’t lost if one drive fails — but note: redundancy is not backup (it can’t save you from accidental deletion or a virus infection).
Plan the folder structure: organize top-level folders by department/project, then split them into “editable / read-only / private”; don’t just drop everyone into one big folder from the start.
Create accounts and set permissions: a separate account for each person, granting “can view / can edit / no access” by role, and tighten sensitive folders such as HR and finance individually.
Fixed address + automatic drive letter: assign the NAS a fixed IP and map it as a network drive on employees’ computers, ready on boot, just like a local drive.
Enable versioning/recycle bin: recover previous versions after accidental deletion or mistaken edits, reducing “the critical file is gone” incidents.

Permissions: Easy to Use, Without Exposing What Shouldn’t Be Seen

The core principle of permissions is least privilege: everyone sees only the folders they need for their work. A common approach is to create groups by department and grant permissions by group — new hires are added to the right group and get access automatically, and leavers are removed from the group and lose it automatically, with no need to edit folder by folder. For sensitive folders such as finance, HR, contracts, and source code, set separate permissions and enable access logs, so you know exactly who has touched what.

Backups: Files Can Be Shared — but They Must Not Be Lost

Remember the “3-2-1” rule: keep 3 copies of important data, on 2 types of media, with at least 1 copy offsite/in the cloud.

Set up redundancy plus scheduled snapshots on the NAS itself (guards against accidental deletion, and provides rollback against ransomware).
Then back up incrementally to another device or the cloud, so a flooded server room, theft, or infection doesn’t wipe out everything.
Periodically actually try a restore — backing up without verifying is the same as not backing up at all.

When employees need to access the company shared drive from outside, don’t expose the NAS directly to the public internet (it’s easy to scan and brute-force). We recommend zero trust remote access, which keeps it invisible to the public internet and verifies identity before connecting — so files can be retrieved remotely without exposing risk.

Frequently Asked Questions

Q: For a small company of just a few people, is a NAS really necessary?
A: Once you have more than three to five people and files start getting passed back and forth, it’s worth it. An entry-level NAS isn’t expensive, and what it saves is the time spent every day hunting for files, sending files, and losing files.

Q: If I set up RAID, do I not need backups anymore?
A: No. RAID only protects against drive failure; it can’t protect against accidental deletion, mistaken edits, virus infections, or a stolen machine. Redundancy and backups need to be done together.

Q: How can employees safely use the company shared drive while traveling on business?
A: Don’t expose the NAS port directly to the public internet. Use zero trust remote access to keep the shared drive invisible externally and verify identity before connecting — both convenient and secure.

Q: What if nobody on our team knows how to do this?
A: You can have an IT operations service provider set it up in one go: device selection, folder and permission planning, backup strategy, and remote access security, with ongoing maintenance afterward. If you have your own IT staff, the provider can also serve as outside support to manage this area together.
